Privacy Policy

Overview

RightsHub Ltd("we", "us"), a company registered in England & Wales, provides sponsorship management software for sports clubs. This policy explains what personal information we collect, how we use it, and the choices you have.

Controller and processor roles. When you and your colleagues use RightsHub as account holders, we are the controller of your account and usage data, and this policy explains how we handle it. Separately, the club and sponsor data you enter into the product belongs to your organisation: for that data your organisation is the controller and we act as a processor on your behalf, under our Data Processing Agreement. This policy covers the data for which we are the controller.

Information we collect

• Account information you give us when you sign up or invite teammates: name, email, and role.
• Club and sponsor data you enter into the product to manage your sponsorships (handled as a processor, as above).
• Messages you send us through support or email.
• Integration data from services we connect to deliver the product — for example, publicly available social media content and sports fixtures data displayed within the service — limited to what's needed for the feature to work. These integrations are read-only and do not involve sharing your personal information with those providers.
• Technical data generated automatically: IP address, device and browser type, pages visited, and timestamps. We use this to run the service, keep it secure, and understand how it's used.

Cookies and tracking

We use cookies and similar technologies to keep you logged in, remember your preferences, and understand how you use RightsHub. Essential cookies are required for the platform to work. We will ask for your consent before placing any non-essential analytics or tracking cookies. You can manage your cookie preferences in your browser settings.

Why we use it, and our legal bases

We use your information to:

• Provide, maintain, and improve the product — to perform our contract with you.
• Authenticate users and secure accounts — for our legitimate interest in keeping the service secure.
• Respond to support requests — to perform our contract and for our legitimate interest in supporting users.
• Send service-related messages (billing, security, important updates) — to perform our contract. We'll only send marketing emails if you opt in (consent), and you can unsubscribe at any time.
• Understand how the service is used — for our legitimate interest in improving it.
• Meet legal and tax obligations — to comply with our legal obligations.

Who we share it with

We don't sell your data. We share it only with:

• Service providers that help us run RightsHub(hosting, database, email delivery, payment processing). They're bound by contract to protect it, and our current sub-processors are listed at rightshub.io/subprocessors.
• Authorities, where required by law.
• A new owner, if RightsHubis ever acquired or merged. We'll let you know if that happens.

Payment information. When you pay for a RightsHub subscription, your payment card details are provided directly to our third-party payment processor (for example, Stripe). RightsHub does not process or store your full credit card details.

A note on artificial intelligence. While RightsHub uses third-party AI to parse uploaded contracts (as detailed in our Data Processing Agreement), we do not use your account information, support messages, or technical data to train any artificial intelligence models.

Where we store it

We store data in the EU and, through our hosting provider, in the United States. Where data is transferred outside the UK or EEA, we rely on safeguards required by law, such as the Standard Contractual Clauses and the UK International Data Transfer Addendum.

How long we keep it

We keep your information for as long as your account is active. If you close your account, we delete or anonymise it within 90 days, unless we're required to keep it longer (for example, for tax or accounting reasons).

Security

We use encryption in transit and at rest, access controls, and regular backups. No system is perfectly secure, but we take protecting your data seriously and will notify you and any relevant authority of a personal data breach where required by law.

Your rights

Depending on where you live, you have the right to:

• Access the personal information we hold about you.
• Correct anything that's wrong.
• Delete your data ("right to be forgotten").
• Export your data in a portable format.
• Object to or restrict certain uses.
• Withdraw consent at any time, without affecting processing already carried out.

Email us at support@rightshub.io and we'll respond within one month. If you're in the EU/UK and aren't happy with our response, you can complain to your local data protection authority — in the UK, that's the Information Commissioner's Office (ico.org.uk).

Changes to this policy

We'll update this page if anything changes and notify you by email for material changes.
